Tips For Improving Customer Service Within Your Business

November 2, 2012 by sophiezo Leave a Comment

When you own a business that provides a product or service, it’s important to make sure you’re customers are always happy and that means you must provide good customer service. Without it your customers will be unhappy and may go elsewhere for their needs.

Customer service comes in many forms. Each one is important because some people will prefer to use one method while others prefer another method. When you offer them several ways to contact you, they’ll find what works for them and use that method.

While multiple methods will help your customers reach out to you and you’ll have the ability to communicate with them, it can be very time consuming and could cause you trouble if you don’t have the time to do it correctly. This is where a Virtual Assistant can help you.

The first method of customer service you can use is the most popular as well and that would be email. While the phone is a good way to communicate, it’s not what people are using. They’re using the internet to find what they need and want, so it makes perfect sense to use your Virtual Assistant in this area. You’ll want to set up an email specifically for this method so you don’t have personal email coming into it. Your Virtual Assistant should check this email 2-3 times a day so that you’re always handling the emails that come through. This will give you the ability to handle any situation and as soon as it arises.

Another method is to use instant messenger. Depending on the program you use to create your website and who your hosting through, you might have the ability to set it up on your site so it automatically comes up for you to use.

The last method you’ll want to consider for your customer service needs is the telephone. This is a little tricky if you don’t work in the office with your Virtual Assistant, but it can still be done. You’ll either need to list her number as a contact number, you can set up an 800 number that links to her phone, or you can use another method like Skype.

When you set up these options for your customers to communicate with you they’ll be happier when they need to ask you a question or need your help and you’re there for them. You’ll find you’ll have customers for life because you took care of them when they needed you.

We’ve been working with Sophie Zollmann for almost half a year now, building an online lifelong learning platform and community from the ground up (because in-person classes became impossible in light of the corona virus). Sophie has guided every technical aspect of this enterprise including the construction of landing-pages and websites, the management of mailing lists and revenue funnels, setting up Zoom meetings, etc., allowing us to focus exclusively on content production and marketing. This platform is now off the ground and succeeding beyond our wildest hopes.

We couldn’t have built it without Sophie’s support, which has always been prompt and timely, and her guidance, as she’s always pointed us to the most efficient and economical solutions to whatever technical issue we’ve faced. In the heat of the moment, I’m sure we’ve not always been easy to work with, but Sophie has also been generous and understanding to a fault. In sum, her support has been flawless and absolutely essential to the success of our online enterprise. We will be relying on her services again as we ramp up for our next phase of growth.
